Customer to convert: why Instant Impact tells its clients to use Pinpoint
“We believe in the power of data and technology combined with the human touch. We use the most up-to-date technology and talent intelligence to provide unique insights for tailored talent acquisition strategies.” – Instant Impact Values
Yet when Instant Impact looked at its internal recruitment, there was a clear gap. Cam Skinner, Head of Internal Talent, needed an ATS that could meet the reporting demands of this intelligence-driven business.
Key info:
- Locations: UK, US, Europe, APAC and South Africa
- Industry: Embedded recruitment and RPO
- Headcount: 85
- Size of talent team: 1
Insights into success
While Cam had an applicant tracking system before Pinpoint, he couldn’t do any reporting with it. Instead, he had to keep track of everything in an Excel spreadsheet. It wasn’t working.
Now that Instant Impact uses Pinpoint, Cam has all the insights he needs in one place.
You can see what you've done the past month, the past quarter, the past year to try and make good predictions and set yourself up for success for any upcoming roles.
With access to this data, Cam can:
- Identify the crunch points in his recruitment process.
- See how his work contributes to business goals.
- Drill down to spot quick wins.
For example, when Instant Impact signs a new client, Cam has a very short time frame to source the right TA professionals for the team. And it’s especially hard for niche specialisms like legal or pharmaceutical recruitment.
Thanks to Pinpoint, he can now see where the best candidates are coming from, so he can be much more targeted in his searches from the start.
Precision hiring
The need for speed made Pinpoint’s talent pooling function “really intriguing” to Cam. He’s found it’s a huge help having a pool of “silver medal” candidates who have already made it through the recruitment process.
Cam combines this with the tag feature to keep track of things like skills, languages, and locations. This makes it even easier to filter the talent pools when new roles open up and message suitable candidates.
We've made quite a few hires this year just from that. It means that we didn't even have to do an interview process. So it's gone from an average time to fill of 30 to 40 days to filling those roles in as little as a day.
Smooth and speedy recruitment
Speaking of speed, Cam was also keen to highlight the “little time saves I find really useful,” such as:
- Bulk message sends. Instant Impact attracts a lot of applications. With Cam running talent acquisition solo, it can take time to work through them. With Pinpoint, he can send a message to all candidates and update them on the timeline. “It’s really great to be able to click on that one button and message everyone.”
- Automated reviews. Some roles at Instant Impact have pre-qualification criteria. In the past, Cam would have to manually check each candidate’s answers and proceed or reject one at a time. With Pinpoint, he has automated the whole process, including messaging those who don’t qualify with an automatic email.
- Integration with Metaview. Metaview is an AI-powered recruitment tool that takes notes for you during interviews and creates summaries. When Cam said he wanted to use it, Pinpoint sorted an integration. Now Metaview automatically records, transcribes, and summarises calls scheduled through Pinpoint and saves the notes in the candidate profile.
Transparency for hiring managers
Cam’s collaboration with hiring managers is critical to finding the right candidates fast. Pinpoint has made this collaboration so much easier.
Hiring managers can track my progress so I don't have to constantly send weekly updates.
This is in stark contrast to the old system, where they would search for information in Excel and still end up calling Cam to ask what it meant. Now, hiring managers can see at a glance how many applications a role has had and how many people are at each stage.
This transparency also means hiring managers can step in and support Cam when he needs it. Cam called out the scorecard feature as especially helpful for him and the team. It shows all the candidates you have scorecards for, along with their scores.
I think that's really great because typically, I'll screen a lot of candidates throughout the week and then on Friday, I'll look back, and those scorecards really help me decide who will be progressing forward to the next stage.
Setting the standard for candidates
More efficient, transparent recruitment is good for candidates, too. It helps build trust—another core value for the business:
“We build incredibly strong relationships, always looking for new ways to add value” – Instant Impact Values
Rather than any single feature, Cam says it’s Pinpoint’s ability to support his processes that makes the difference here. What stands out to candidates is “the way we use Pinpoint”.
Cam points out, for example, that it’s a lot easier to book interviews because you can let the candidates choose. With everyone’s calendars synced to Pinpoint, Cam sends one email, and everyone books themselves in.
“We’ve had very good feedback,” says Cam, “and I can use the time to focus on other things”.
Tried and tested for clients
Instant Impact has been so pleased with Pinpoint that it recommends the platform to its clients. From its experience as a customer, it knows Pinpoint will deliver for its clients.
We’ve mentioned how much Cam uses tags, but one frustration he had was that he couldn’t add new tags on the fly. And so, recognising this was clunky, Pinpoint provided a solution.
It’s a testament to this kind of responsive, supportive partnership that a year after becoming a customer, Instant Impact now has 17 joint customers with Pinpoint. Proof that, in line with Instant Impact’s values, we ‘win together’ and can ‘be proud’ of the experience we provide.
